Invoice Line Items and Quantity Types
Manage line items on your invoices and choose how quantities are expressed (hours, units, or custom) so your invoices and reports stay consistent.
Line Items on Invoices
Each invoice is made up of line items: description, quantity, unit price, and optionally a quantity type. You can add, edit, reorder, and remove line items from a dedicated line items modal while creating or editing a draft invoice.
Adding and Editing Line Items
- Open Invoicing (or Finance → Invoices) and create a new invoice or open a draft.
- Click Line items or Edit line items to open the line items modal.
- Add a line: enter description, quantity, unit price, and select a quantity type (see below).
- Add more lines as needed; the invoice total updates automatically.
- Save or close the modal; your draft keeps all line items until you send the invoice.
You can edit or remove individual lines and change quantity types at any time while the invoice is still in Draft.
Quantity Types
Each line item can have a quantity type so you can bill in the right unit:
- Hours — For time-based work (e.g. consulting, development hours). Use when the line is tied to tracked time or hourly rates.
- Units — For countable deliverables (e.g. number of items, sessions, or fixed-scope deliverables).
- Other / custom — For any other unit your team uses (e.g. pages, words, miles). Labels may vary by team settings.
Quantity types keep reporting and totals consistent: when you run financial or time-based reports, the system can aggregate by type (e.g. billable hours vs units).
Client and Invoice
Invoices are linked to a client. When you create or edit a draft, you choose the client; currency and client details are then applied to the invoice. This keeps payments, contact info, and history in one place. See Professional Invoicing for full invoice creation and status workflow.
