Overview

Weekly target hours help you set clear expectations for how much time each team member should work per week. Whether you manage full-time employees working 40 hours, part-time contractors with flexible schedules, or a mix of both, target hours give everyone a clear goal to work towards.

Setting Target Hours

For Team Managers

As an administrator or team owner, you can set weekly target hours for any team member:

  1. Navigate to Team SettingsUsers
  2. Click on the user you want to edit
  3. Find the Time Tracking section
  4. Enter their Weekly Target Hours (e.g., 40 for full-time, 20 for part-time)
  5. Save the changes

Target Hour Guidelines

  • Full-time employees: Typically 40 hours per week
  • Part-time employees: 20-30 hours per week depending on agreement
  • Contractors: Whatever hours you've agreed upon
  • Flexible workers: Set realistic targets based on project needs
  • Leave it blank: If you don't want to track targets for specific users

Note: Target hours are optional. If you don't set a target for a user, they simply won't see progress tracking in their reports.

How Progress Tracking Works

Weekly Period

Progress is tracked on a calendar week basis (Monday through Sunday). Every week starts fresh on Monday at midnight, and your progress resets to zero.

Progress Calculation

Your weekly progress is calculated automatically based on:

  • All time tracked during the current week (Monday-Sunday)
  • Both manual and automatic time entries
  • Time from all projects and tasks combined

For example:

  • Target: 40 hours per week
  • Tracked so far: 28 hours (as of Thursday afternoon)
  • Progress: 70% (28 ÷ 40)
  • Remaining: 12 hours to reach your target

Visual Progress Bars

Progress bars appear in multiple places:

  • Daily email reports: Shows your weekly progress at the bottom
  • Weekly email reports: Shows final week progress with summary
  • Team reports: Managers see progress bars for each team member with targets

The progress bar is color-coded:

  • Green: On track or above target (80%+)
  • Yellow: Getting close (50-79%)
  • Red: Behind schedule (<50%)

Viewing Your Progress

Personal Dashboard

Your current week's progress is visible in your dashboard if you have a target set. You'll see:

  • Your target hours for the week
  • Hours worked so far this week
  • Percentage complete
  • Visual progress bar

Email Reports

If you've enabled email notifications (see below), you'll receive:

Daily Reports (1:00 AM):

  • Yesterday's work summary
  • Progress towards this week's target
  • Days remaining in the week

Weekly Reports (Monday 1:00 AM):

  • Complete week summary (Monday-Sunday)
  • Final progress percentage
  • Comparison to your target
  • Next week's fresh start

Team Manager View

Managers and team owners can see progress for all team members:

  • View in daily team reports (delivered via email)
  • See which team members are on track
  • Identify who might need support or schedule adjustments

Email Report Settings

Control which reports you receive through SettingsNotification Settings:

Available Reports

  1. Daily Work Summary

    • Sent every morning at 1:00 AM
    • Contains yesterday's time tracking summary
    • Shows weekly progress if you have a target
    • Only sent if you tracked time yesterday
  2. Weekly Work Summary

    • Sent every Monday at 1:00 AM
    • Full week recap (previous Monday-Sunday)
    • Final progress percentage
    • Only sent if you tracked time during the week
  3. Daily Team Summary (Managers only)

    • Shows entire team's yesterday activity
    • Includes progress bars for team members with targets
    • Helps identify who's on track
  4. Weekly Team Summary (Managers only)

    • Complete team week recap
    • Shows which team members met their targets
    • Lists team members who didn't meet quotas (if they had targets set)

Enabling/Disabling Reports

All report types are enabled by default but can be turned off individually:

  1. Go to SettingsNotification Settings
  2. Find the report type you want to change
  3. Toggle it on or off
  4. Save your changes

Tip: If you find the daily reports too frequent, disable them and keep only the weekly summaries.

Use Cases

Managing Full-Time Teams

Set 40-hour targets for all full-time employees. Use the weekly team reports to ensure everyone is maintaining full-time hours and identify scheduling issues early.

Contractor Management

Set specific hour targets based on your contracts. Easily see who's working their agreed hours and who might need more projects assigned.

Part-Time Employees

Set lower targets (15-25 hours) and track separately from full-time staff. Ensure part-time workers aren't being overworked or underutilized.

Setting Realistic Targets

  • Start with standard work expectations (40 hours for full-time)

Using Progress Reports

  • Check your progress mid-week (Wednesday/Thursday)
  • If behind, plan extra time for Friday or weekend

  • Use weekly reports to identify patterns over time

Team Management

  • Review team progress reports every Monday morning
  • Address low performers proactively (might need help, not discipline)
  • Celebrate team members who consistently meet targets

Privacy & Permissions

Who Can Set Target Hours

Only administrators and team owners can set target hours for users. Team members cannot set their own targets.

Who Can See Target Hours

  • Your own target: You can always see your own target and progress
  • Team targets: Managers see all team members' targets and progress
  • Other users: Cannot see other team members' targets or progress

Report Visibility

  • Personal reports: Only you receive your personal daily/weekly reports
  • Team reports: Only sent to team owners and organization managers
  • Clients: Never see target hours or progress information

Frequently Asked Questions

Q: What happens if I don't set a target for someone?
A: They simply won't see progress tracking. Reports will still show their time breakdown by project and task, just without the progress bar.

Q: Can I change someone's target mid-week?
A: Yes, but the progress bar will recalculate based on the new target immediately. Their tracked hours don't change, just the percentage.

Q: Do target hours carry over week to week?
A: No, each week is independent. If you work 50 hours one week, the extra 10 hours don't count towards next week's target.

Q: What if someone is on vacation?
A: Either temporarily set their target to 0 or leave it as-is. The reports won't send if they track no time that week anyway.

Q: Can I set different targets for different weeks?
A: Target hours are a per-user setting, not per-week. If you need different targets for busy/slow periods, adjust them manually at the start of each period.

Q: Do the email reports work on weekends?
A: Reports are sent daily (including weekends if you track time) and weekly (Mondays only). You can disable them in settings if you don't want weekend emails.
