How does the desktop time tracker work?

Corcava's desktop application integrates with your account to provide automatic time tracking. Once connected via API authentication, you can select projects and tasks, then use start/stop/continue functionality to track time. The app can optionally capture screenshots during tracking for work verification and supports both automatic and manual time entry modes.

Can I control who sees my time tracking screenshots?

Yes, Corcava has comprehensive screenshot privacy controls. You can configure role-based access to screenshots, control whether screenshots are captured at all, and decide which team members or clients can view them. Screenshots can optionally be shared with clients through the client portal, but this is entirely configurable.

Can I add time manually instead of using the tracker?

Yes, you can add time entries manually through the MyWork interface. Simply select the project, specify start and end times, add optional notes and context, and save. The system includes validation to prevent overlapping time entries and enforces a 10-minute minimum interval.

Can I set time estimates for tasks?

Yes, you can add time estimates to tasks for budget tracking. Tasks include estimate fields that you can use to plan project timelines and compare estimated vs actual time spent. This helps with project profitability analysis and resource planning.

How do I set billing rates for time tracking?

Corcava supports flexible billing rates at multiple levels. You can set default rates per team member, override rates for specific projects, track rate history over time, and apply different rates for different types of work. The system warns you about missing bill rates on the dashboard.

How do I see time that hasn't been billed yet?

Corcava tracks uninvoiced time across all projects, making it easy to identify work that hasn't been billed to clients yet. Financial reports show separate 'Spent' and 'Billed' columns so you can quickly spot revenue opportunities and ensure all billable time is invoiced.

Does Corcava detect time tracking fraud?

Advanced fraud detection is coming in Time Tracking 2.0 (Q1 2026) with features including identifying suspicious time entries and screenshot patterns, automatic inactivity detection, AI screenshot analysis for activity categorization, productivity insights with recommendations, and advanced reporting on time usage patterns.

Can I set different billing rates for different projects?

Yes! Corcava supports flexible project-specific billing rates. You can set different rates per project to accommodate retainer clients, long-term contracts, or negotiated rates. The system tracks rate history over time and manages rate changes transparently.

Can I set weekly work hour targets for team members?

Yes! You can set weekly target hours for each team member when editing their user profile. This is perfect for managing full-time employees (typically 40 hours), part-time workers, or contractors with different schedules. Team members see their progress towards their weekly target in their dashboard and email reports, complete with visual progress bars. Managers can track which team members are on track to meet their targets.

Does Corcava send automated work summary emails?

Yes! You can receive daily and weekly email summaries automatically. Daily reports show yesterday's work with project and task breakdowns, sent every morning at 1:00 AM. Weekly reports arrive every Monday with a complete recap of the previous week (Monday-Sunday). Both include progress bars towards your weekly target if you have one set. All reports can be enabled or disabled individually in your notification settings.

What's included in the daily work summary email?

The daily work summary email shows your total hours worked yesterday, a breakdown by project and task, your top projects and tasks by time spent, and your weekly progress if you have a target set. The email is only sent if you tracked time yesterday, so you won't receive blank reports. Managers receive team versions showing the entire team's activity.

What's in the weekly work summary email?

The weekly work summary covers Monday through Sunday and includes your total hours for the week, complete breakdowns by project and task, your final weekly progress percentage if you have a target, and week-over-week comparisons. It's sent every Monday morning at 2:00 AM, but only if you tracked time during that week. Perfect for weekly reviews and planning the upcoming week.

Can I export time tracking data from project boards?

Yes! You can export complete time tracking activity from any project board. Choose your date range, select whether to group data by team member or by task, pick your format (JSON, CSV, or Excel), and choose between seconds or hours:minutes:seconds for time format. Perfect for client billing, performance reviews, integrating with external tools, or generating custom reports in spreadsheets.

What export formats are available for board activity?

Board activity can be exported in three formats: JSON (perfect for API integrations and data processing), CSV (opens in Excel, Google Sheets, or Numbers for analysis), and XLSX (native Excel format with formatted headers). All formats properly handle international characters including Cyrillic, Chinese, and other non-English names.

Can I organize exported time data by team member or by task?

Yes! When exporting board activity, you can group data by member (to see each person's work across all tasks) or by task (to see which team members worked on each task). Group by member for performance reviews and individual billing, or group by task for project retrospectives and task-level analysis.

Can I automate board activity exports using the API?

Yes! The board activity export feature is available through the Public API at GET /api/v1/boards/{id}/export-activity. This allows you to automate regular exports, integrate time data with accounting systems, or build custom reporting tools. Requires API key authentication. Can AI analyze my time tracking screenshots?

Yes! Corcava's AI Screenshot Analysis lets you ask any question about your screenshots in natural language. For example, ask 'Was this person watching YouTube?' or 'What applications were being used?' and get instant AI-powered answers. The AI can identify applications, detect activity patterns, classify work vs. entertainment, and provide summaries. Access it from the Screenshots page by clicking 'Analyze Screenshots'.

What questions can I ask about my screenshots?

You can ask virtually any question about what's shown in your screenshots. Popular examples include: 'Was this person watching YouTube or other video sites?', 'Find screenshots showing social media usage', 'What applications were being used?', 'Is this productive work or distraction?', 'Flag screenshots that don't look like work', and 'Summarize the work activity'. The AI understands natural language and provides answers with confidence scores.

How does the token system work for screenshot analysis?

AI Screenshot Analysis uses tokens from your account balance. The rate is 1 token = 100 screenshots analyzed. Before starting an analysis, you'll see how many screenshots will be processed and how many tokens are required. Purchase tokens from the Billing page. The AI uses smart clustering to group similar screenshots, reducing the number of API calls needed and optimizing your token usage.

Who can see my screenshot analysis results?

You control who sees your analysis results through visibility settings. Choose 'Personal' to keep results visible only to yourself, or 'Team' to allow managers and admins to view them. You can only analyze screenshots you have permission to view - your own screenshots, or team member screenshots if you're a manager or admin. All analysis activities are logged for security.
