Outreach Reporting Dashboard: What to Review Weekly
Good reporting tells you where to focus. This guide shows you which metrics matter for outreach, how to review them weekly, and how to turn data into action.
The Weekly Review Mindset
Don't just look at numbers. Ask: "What's the bottleneck this week, and what's one thing I can do about it?"
Core Weekly Metrics
Focus on these 7 metrics for a complete picture of outreach health:
New Leads/Opportunities
How many new opportunities entered the pipeline?
Proposals Sent
How many bids/proposals/outreach messages sent?
Follow-Ups Due vs. Completed
Are follow-ups happening on time?
Response Rate
% of outreach that got a reply (any reply)
Win Rate Trend
% of opportunities that convert to won (rolling 4-week)
Cycle Time
Average days from first contact to outcome
Hours Per Lead
Time invested per opportunity (if tracking time)
Weekly Review Flow
Follow this 3-step flow every week:
Spot the Bottleneck
Look at your metrics. Where is the biggest gap or drop-off?
Common bottlenecks:
- Low volume → Not finding enough opportunities
- Low response rate → Targeting or messaging problem
- Low win rate → Qualification or proposal problem
- Long cycle time → Follow-up discipline problem
Choose 1-2 Actions
Don't try to fix everything. Pick the highest-impact action.
Example actions:
- "Spend 30 min/day on new lead sourcing"
- "Test new proposal intro this week"
- "Clear all overdue follow-ups by Wednesday"
- "Review and close 10 stale leads"
Track Next Week
Did the action move the metric? Adjust or try something else.
Keep a simple log:
"Week of Jan 27: Response rate 12% → 18% after testing new subject lines"
Metric Benchmarks
These are rough benchmarks—your numbers will vary by industry and channel:
| Metric | Poor | Average | Good |
|---|---|---|---|
| Response Rate (Cold) | <5% | 5-15% | >15% |
| Response Rate (Platform) | <10% | 10-25% | >25% |
| Win Rate (Qualified) | <10% | 10-25% | >25% |
| Follow-Up Completion | <70% | 70-90% | >90% |
| Cycle Time (Days) | >45 | 21-45 | <21 |
Building Your Dashboard View
Set up a saved view or filter that shows:
Weekly Dashboard Setup
This Week's Activity: Filter by created date = last 7 days
Open Pipeline: Filter by status = active stages only
Overdue Follow-Ups: Filter by follow-up date < today
Closed This Week: Filter by outcome date = last 7 days
Common Reporting Mistakes
Tracking too many metrics
7 metrics is plenty. More creates noise and decision paralysis.
Looking at absolute numbers only
Trends matter more than snapshots. Compare week-over-week.
Not acting on the data
A dashboard without action is just entertainment. Always leave with 1-2 next steps.
